How SurveyWorld Collects and Uses Your Personal Data
Introduction
SurveyWorld B.V. ("SurveyWorld", "we", "us") is committed to protecting the privacy and personal data of all users of our platform. This Privacy Policy explains what data we collect, how we use it, with whom we share it, and what rights you have in relation to it.
This policy applies to all Members and visitors of the SurveyWorld platform and is to be read alongside our Terms & Conditions.
What Personal Data We Collect
We collect the following categories of personal data:
Registration data: your name, email address, date of birth, gender, country of residence, and postal code — provided when you create an account.
Profile data: demographic and lifestyle information you provide when completing profiling surveys, used to match you with relevant surveys.
Survey response data: your answers to survey questions. Survey responses may be linked to your profile for quality purposes and are shared with research clients in aggregated, anonymised form.
Technical data: your IP address, browser type and version, device type, operating system, and pages visited, collected automatically when you use the platform.
Communication data: records of your correspondence with us, including support requests and email interactions.
How We Use Your Personal Data
We use your personal data for the following purposes:
To operate the platform and provide you with survey invitations matched to your profile.
To validate survey responses and credit your account with Points.
To process Point redemptions and deliver Rewards.
To communicate with you about your account, surveys, and relevant updates.
To improve the platform, personalise your experience, and develop new features.
To detect and prevent fraud, misuse, and violations of our Terms & Conditions.
To comply with our legal and regulatory obligations.
Legal Basis for Processing
We process your personal data on the following legal bases under the General Data Protection Regulation (GDPR):
Contract performance: processing necessary to fulfil our agreement with you as a Member, including sending survey invitations and processing Reward redemptions.
Consent: where you have given us specific, informed consent, for example for profiling surveys or marketing communications. You may withdraw consent at any time.
Legitimate interests: processing carried out for our legitimate business interests, such as fraud prevention and platform improvement, where these interests are not overridden by your rights.
Legal obligation: processing required to comply with applicable law, such as tax or financial reporting obligations.
Consent & Opt-In
At the time of registration, you will be asked to confirm that you have read and accepted these terms and our Privacy Policy. This forms the basis of our contractual relationship.
Where we rely on consent for specific processing activities — such as sending promotional emails or processing sensitive profiling data — we will ask for your explicit opt-in. You may withdraw such consent at any time by updating your account preferences or contacting us via Support.
Withdrawal of consent does not affect the lawfulness of any processing carried out prior to the withdrawal.
Data Retention & Deletion
We retain your personal data for as long as your account is active or as necessary to provide our services.
If you deactivate or delete your account, we will delete or anonymise your personal data within 90 days, except where retention is required by law (for example, for tax, accounting, or fraud prevention purposes), in which case we retain the minimum data necessary for the applicable statutory period.
Survey response data is retained in anonymised form indefinitely for research and statistical purposes.
You may request deletion of your personal data at any time by contacting us or using the account deletion feature in your account settings.
Sharing Personal Data with Third Parties
We do not sell your personally identifiable information to any third party.
We may share your data with the following categories of recipients:
Research clients: aggregated and anonymised survey data is shared with the companies that commission our surveys. Individual responses are not shared in a manner that identifies you personally.
Service providers: third parties who assist us in operating the platform, such as hosting providers, email delivery services, and analytics tools. These providers process data on our behalf and are bound by contractual data processing agreements.
Legal authorities: where required by law, court order, or regulatory obligation.
International Data Transfers
Where personal data is transferred outside the European Economic Area (EEA), we ensure that appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission, to maintain the same level of protection as required under GDPR.
For further information about the safeguards applied to international transfers, please contact us via the Support section.
Security Measures
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, destruction, or alteration.
These measures include encryption of data in transit and at rest, access controls limiting data access to authorised personnel, regular security assessments, and incident response procedures.
Rights of Data Subjects
Under the GDPR, you have the following rights in relation to your personal data:
Right of access: you may request a copy of the personal data we hold about you.
Right to rectification: you may ask us to correct inaccurate or incomplete data.
Right to erasure: you may request deletion of your personal data, subject to applicable legal obligations.
Right to data portability: you may request that we provide your data in a structured, commonly used, machine-readable format.
Right to object: you may object to processing based on legitimate interests.
Right to restrict processing: you may ask us to limit processing of your data in certain circumstances.
To exercise any of these rights, please contact us via the Support section of the platform. We will respond within 30 days. You also have the right to lodge a complaint with your national data protection authority.
Automated Decision-Making
We do not make decisions about you solely by automated means that produce legal or similarly significant effects on you. Survey matching is performed algorithmically but does not produce consequential individual decisions.
Do Not Sell or Share (US Privacy Laws)
For Members located in US jurisdictions with applicable privacy laws (including the California Consumer Privacy Act, CCPA), we confirm that we do not sell or share your personal data as defined by such laws. Please contact us via Support to exercise any rights afforded to you under applicable US privacy legislation.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make material changes, we will notify you by email or by a prominent notice on the platform before the changes take effect. The date of the most recent revision will be indicated at the top of this page.
